From brief to first day, four steps.

Whether you are hiring an event coordinator or a director of operations, the process is the same. Considered, calibrated, properly closed.

Take the brief

30 minutes on the phone about the team, the event calendar and the must-haves. Written brief returned for sign-off.

Search and vet

We approach the network and active candidates. Vet, interview, rank. You receive three to six properly checked candidates.

Offer support

We coordinate the offer, the notice period and the start date. Counter-offer pressure handled before it lands.

Aftercare

Day-7, day-30 and day-90 check-ins with both sides. The placement is only successful if the hire is still in seat.

How a Swan brief actually runs

Events recruitment is its own discipline. Calendars move quickly, peak seasons land hard, and a hire who is not the right cultural fit will not last past the next major event. Swan was set up for clients who want the same recruiter to take the brief, run the search, run offer support, and check back in at thirty and ninety days.

Calibration before search

Every shortlist is calibrated against current US event-industry pay data plus what we are seeing live across the desk this month. If the band looks low for the city or the role, we will tell you before we start, not after the offer is rejected.

Vetted, ranked shortlist

Three to six candidates per brief, properly vetted, with our written notes attached. Right-to-work, references, certifications (ABC/TIPS, ServSafe, OSHA where relevant) and motivation are all checked before introduction. We rank, we do not just send.

Where we focus

Permanent placements only. Venues, in-house event teams at brands, hotel groups, catering operators and event agencies. We do not run day-rate event staffing pools and we do not run promotional model agencies that book per shift.
